Job Responsibilities
- Coordinate Technicians’ Schedules – Work closely with the Service Manager to build a seamless operation by coordinating transportation movements and maintaining up-to-date schedules for technicians
• Track Technician Start/Departure Times – Monitor and adjust technician schedules throughout the day, ensuring efficient time management and job completion
• Route Management – Maintain a matrix of technicians’ routes, start locations, specialties, and tools to ensure that the right technician is assigned to the right call
• Daily Interaction with Technicians – Communicate with technicians daily to anticipate issues with routes, parts, or scheduling and make quick decisions to resolve problems
• Customer Requests – Respond to customer inquiries and special requests related to technicians' jobs, providing updates as needed
• Maintain Schedules – Track and manage technicians’ vacation, sick, and weekend schedules to ensure proper staffing at all times
• Forecasting & Follow-up – Forecast workload for 2-3 days in advance, follow up on pending/recommended work, and ensure technicians are prepared for upcoming tasks
• Parts & Status Updates – Contact customers regarding pending parts and provide updates on the status of parts for ongoing jobs
• Problem Resolution – Anticipate and resolve any challenges that may arise with routes, technician availability, or customer requirements, ensuring smooth operations
Qualifications
- Experience – Previous dispatch, scheduling, or operations experience is a plus
• Organizational Skills – Strong attention to detail and ability to manage multiple tasks and schedules efficiently
• Communication Skills – Excellent communication skills to interact with technicians, customers, and the Service Manager effectively
• Problem Solving – Ability to anticipate problems and make sound decisions quickly
• Tech Savvy – Comfortable using scheduling or dispatch software, such as Service Titan or similar systems
• Team-Oriented – A strong team player with the ability to collaborate and maintain smooth operations across all levels
• Availability – Must be available Monday through Friday, 7:30 AM to 4:00 PM
