Job Responsibilities

• Install Coordination – Schedule HVAC installation jobs by aligning technician availability, customer preferences, and permitting timelines

• Material Readiness – Ensure equipment, tools, and parts are ready and delivered on time

• Customer Experience Management – Be the customer’s main point of contact during the installation process, providing updates and ensuring a smooth experience

• Job Tracking – Maintain job statuses and technician notes in ServiceTitan or similar software

• Team Collaboration – Coordinate with permitting, warehouse, and dispatch teams to reduce delays

• Paperwork & Compliance – Verify all job documentation and contracts are accurate and complete

• Problem Solving – Troubleshoot scheduling issues, material delays, or customer concerns quickly and professionally

• Payment & Financing Support – Responsible for collecting payments, facilitating financing and loan options for customers, and performing additional duties as assigned by management, based on the evolving needs and continued growth of the company

Qualifications

• 2+ years of administrative, coordination, or customer service experience

• HVAC industry experience a plus

• Proficiency in job tracking software (ServiceTitan preferred)

• Excellent multitasking and organizational skills

• Strong interpersonal and written communication

• Ability to work independently and prioritize effectively
